Duties of the STEC

AMEER:

  • Is the leader of the Islamic Society on campus.
  • Is responsible for co-ordinating all activities and programmes of the IS.
  • Represent the IS at functions and public fora.
  • Ensure that the STEC members are fulfilling their duties.

External Liason (Off-campus) Officer:

  • Shall liase with any off-campus organisation as the need arises.
  • Actively pursue unity with other Muslim youth and tertiary institute organisations.
  • Together with the Ameer, shall be the official IS representative at off-campus functions.
  • Shall co-ordinate any commnity/welfare projects that the IS is engaged in.
  • Shall target schools for educational programmes, information and Da'wah.
  • Shall compile a database of organisations, schools, universities, and other teriary institutions.

Secretary:

With regards to COMMUNICATION:

  • Be aware of all IS activities.
  • Receive and bring to the attention of the STEC all correspondence addressed to the IS.
  • Draft and post letters or other correspondence on behalf of the IS and STEC subcoms.
  • File all IS correspondence.

With regards to MEETINGS:

  • Together with the Ameer draft the Agenda for the weekly STEC meetings.
  • Post the agenda on the IS noticeboard at least 1 day prior to the meeting.
  • Ensure that all STEC members are informed of meetings.
  • Accept apologies (in writing) for absence from STEC meetings from any of its members.
  • Record and file minutes of all STEC meetings.
  • Post a copy of minutes on the J.K noticeboard no later than 2 days after a meeting.
  • Book venues, vehicles, or any other University equipment the the IS might need for its activities.

Treasurer:

  • Be responsible for the financial matters of the organisation.
  • Needs to find all possible sources of finance on campus.
  • Shall, in consultation with a duly convened meeting of the STEC decide on the withdrawal of funds for any IS activity.
  • Shall, in consultation with a duly convened STEC meeting, decide on the acceptance of any donations, loans or spoonsorships.
  • Consitute a finance committee specifically dedicated to the raising of funds for the IS. This subcomm shall be the only fund-raisnig organ of the IS.
  • Shall submit a fortnightly report to the STEC meeting which shall subsequently be posted on the IS noticeboard.
  • After any major activity of the IS shall submit a complete financial statement to the STEC, as well as posting this document on the IS noticeboard.
  • Submit a full, annual financial statement and the general constituency at the end ofthe term in office.
  • Assist the newly elected treasurer in the drawing up of a budget for the next year.

Education Officer:

  • Shall be responsible for the arrangement of Speakers fo Jummah.
  • Arrange educational activities for Muslims on campus with the aim of developing strong Islamic Identities.
  • Be responsible for conscientising the community on campus, eith the goal of spreading the Universal Message.
  • Constitute a subcommittee which shall facilitate the fulfillment of the abovementioned responsibilities.

Webmaster

  • Is responsible for the creation, development of the IS website.
  • Is responsible for maintaining and updating the IS website.
  • IS responsible for e-mailing all IS members with news, Islamic info etc.

Marketing

  • Is responsible for marketing the Islamic Society to students and to other individuals.
  • This is done by designing and putting up posters, flyers etc. for all IS events.
  • Hosting a slot on UCT radio to advertise IS events and to market the Islamic Society.

Editor

  • Is responsible for the publication of the IS newsletter, THE IQRAA..
  • This includes editing articles, formatting the newsletter as well printing and distributing it.
  • Also responsible for editing other IS material e.g. posters, flyers, informational booklets.

Resource Officer:

  • Is responsible for the administration, control and safeguarding of books, audio and visual equipment.
  • Shall maintain the IS library in a good condition.
  • Shall arrange librarians to man the resource centre at least 3 periods a day, as well as during lunch.
  • Shall actively market and upgrade the library on a regular basis.
  • Shall constitute a subcommittee for the effective fulfillment of the above duties.

Sports and Recreation Officer:

  • Shall provide a social vehicle for unity of Muslims on campus.
  • Shall constitute a subcommittee as he/she feels fit, as in accordance with the stated aim of this portfolio.
  • Shall engage off-campus as well as on campus organisations in social activities such as braai, hikes and sports events.

Internal Liason:

  • Shall act as the public relations officer of the IS on campus by establishing and maintaining good relationships with residences and other campus organisations.

Female Representative:

  • Is responsible for organising and co-ordinating activities for the Muslim females on campus.
  • Is responsible for liasing with females on campus, noting their needs, grievances and addressing these to STEC at meetings.

Maintenance:

  • Is responsible for the maintanence of the Jamaat Khana (J.K.)
  • Is responsible setting up the mats, audio etc for Jummah on campus.

Med-School Representative:

  • Is responsible for seeing to the needs of the Muslims at Med-School.
  • Is the link between the Medical Students and the STEC on upper campus.
  • Keeps the students at Med-School updated with regards to activities etc organised by the IS.

Student Relations:

  • Is responsible for liasing with students, identifying their problems, suggestions etc. and reporting this to the STEC.
